Map Out Operations
What does your business do?
Start by identifying the core functions of your business (e.g., sales, marketing, production, customer service, finance). What are the day-to-day activities that transform inputs (like raw materials, labor, and technology) into finished products or services.
Then identify how each function contributes to the overall success of your business. It is important to identify how each function interacts with other business functions.
List Key Tasks
Break down each function into specific tasks or processes that need to be performed regularly.
For example, an e-commerce company might have a customer service team that handles returns, refunds, and product inquiries via phone, email, or chat.
Listing key tasks allows you to clearly assign responsibilities, ensuring that each task has an owner who is accountable for its completion.
Create Standard Operating Procedures (SOPs)
Write down step-by-step instructions for how each task should be completed.
Be detailed enough that someone unfamiliar with the task could follow the instructions.
For example a Customer Service SOP would detail how to ensure all customer inquiries and issues are handled consistently and professionally.
To achieve this you would need to write down step-by-step instructions on how to greet customers, assess their needs, document issues, escalate complaints, and follow up to ensure resolution.
